What Videmory collects and why

Your trip is private. Videmory uses your photos, videos and project information to create and deliver your film. It does not sell them, use them for advertising, or send them to any third party to be analysed or used as training data.

The short version

  • There is no public gallery or social feed.
  • Contributors need the private link or join code to upload.
  • The organiser controls the project and can delete it.
  • Your files are stored and processed using Google Cloud services.
  • Camera dates and, when available, location information are used to organise the trip.
  • Videmory does not sell your information, or use your media for advertising or as training data.

Information we collect

When you organise a trip

We collect the project name, your display name and the organiser PIN. The PIN is stored in a protected form and cannot be read back as plain text.

If you use an account or email-based recovery feature, we also collect your email address and an account identifier.

When you contribute

We collect the display name you enter and the photos and videos you choose to upload. You do not need to provide an email address or create an account.

When you contact us

We collect the name, email address, join code and message you enter into the contact form.

When you pay

Stripe collects and processes your payment details. Videmory receives the payment result and a reference to the project, but does not receive or store your full card number.

When you tell us what you thought

After a film is finished the app asks how it went. Answering is optional, and skipping it changes nothing.

If you do answer we keep your ratings and comments, which trip they were about, and the sort of device you were using. We ask separately whether we may get back to you, and only if you say yes do we keep a name, an email address or a phone number alongside it.

It is used to work out what to fix. Nothing else.

Information read from uploaded files

Videmory may read:

  • The date and time recorded by the camera
  • The file name and, for computer uploads, relevant folder information
  • Location coordinates saved by the camera, when present
  • Technical measurements used to identify broken, unusable or near-duplicate files
  • Basic information used to avoid poor crops, such as the likely position of a face in the frame

This information is used to organise and edit the film.

About location, precisely

Where a photograph carries coordinates, Videmory turns them into a place name — “Taormina, Sicily” — using a copy of the place-name data held on our own servers. No mapping service is contacted, and the coordinates themselves are not written to our database.

The distinction worth stating: your original photograph still contains whatever your camera recorded, precise coordinates included, and we keep that file as you sent it. What Videmory does not do is copy the position out into its own records, or look it up anywhere.

Videmory does not identify people by their faces or compare faces across photographs.

How we use the information

We use it to:

  • Receive and manage uploads
  • Put the trip in chronological order
  • Group the trip into days and places
  • Check technical quality and select material
  • Build, preview and deliver films
  • Process purchases and keep payment records
  • Provide support, investigate reports and handle deletion requests
  • Protect the service from misuse

We do not sell personal information, use trip media for advertising, or use uploaded media as training data.

Where information is stored and processed

Videmory uses Google Cloud Storage, Firestore and Cloud Run to store project data and build films.

Some of that infrastructure is outside Australia. Australian privacy law asks us to tell you when your information is handled overseas, and this is us telling you. Google handles it under its own data-processing terms as our supplier.

Services involved

Google Cloud

Google supplies the storage, database and processing infrastructure used by the Videmory app.

Stripe

Stripe processes payments. Card details are entered directly through Stripe and are not stored by Videmory.

Mux

The sample film on the home page is hosted and played by Mux. Its player loads from Mux when that part of the page is reached, so Mux sees the usual request information a video host sees, including your IP address, and records that the sample was played. It has no part in your trip: your own photographs and films are never sent to it.

Netlify

Netlify hosts this website and receives normal web-request information such as an IP address. It also handles anything submitted through the contact form.

Google Fonts

The website loads Bricolage Grotesque from Google Fonts, which means Google receives normal request information when the font is loaded.

GoatCounter

The website uses GoatCounter to count page visits, without advertising cookies or cross-site tracking.

Who can access a trip

Anyone with the private link or join code can join the contribution page, so treat the link like a key and only send it to people you trust.

Contributors can manage their own uploads. They cannot browse or download anyone else’s photos and videos. They may see other contributors’ display names and upload counts.

The organiser can review all uploads, start the film, purchase and download it, and delete project data.

Authorised staff may access a project when needed to provide support, investigate a report or fix a technical problem. Nobody browses a trip for interest.

Film download links are temporary and expire.

How long information is kept

Projects without a purchased film are intended to be deleted 60 days after their last activity.

Purchased films are hosted for 30 days from the project’s latest purchase. Buying another version extends that window for the project.

These are the retention periods Videmory works to. Deleting a trip yourself takes effect immediately and is the one to rely on if you want something gone now.

Videmory may retain a limited transaction or deletion record where needed for accounting, fraud prevention, dispute handling or legal obligations. It does not contain the original photos or videos.

Deleting uploaded memories but keeping your films

After purchasing, the organiser can choose Delete Uploaded Memories.

This removes the original uploads, thumbnails and working media. Purchased films, their previews, sharing and download access remain available until the project’s expiry date.

Because the original files are gone, no further versions can be built. It is refused while a film is being built from those files.

Deleting the entire project

Choose Delete Entire Project to remove the project, uploads, contributor information, previews, finished films and project links.

Download any film you want to keep before doing this. The project links stop working when deletion begins.

Contributor choices

Contributors can exclude their own uploads from the film while the project is open.

If you need one of your files removed completely, contact us with the join code and enough information to identify your upload. You do not need the organiser’s permission to ask about your own media.

Children

Family travel films may contain children. The person uploading must have permission from a parent or guardian when required.

If your child appears in a project without your permission, contact us and we will investigate and act on the request.

Access, correction and complaints

You can ask what personal information we hold about you, request a correction or ask for deletion. Use the contact form and include the join code if you have it.

If you are not satisfied with our response and the Privacy Act applies, you may be able to complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Data breaches

If a serious data breach occurs, we will investigate it, take steps to limit harm and make any notifications required by law.

Changes to this policy

The date at the top changes when this policy changes. If a change materially affects how trip media is stored or used, we will provide a clearer notice where practical.
